Carolina Family Health Centers

CFHC provides affordable, high-quality health care services in Edgecombe, Nash and Wilson counties in Eastern North Carolina. Through four centers, it offers a comprehensive scope of medical, dental, pharmaceutical and behavioral health services to thousands of uninsured, the working poor and those who are unemployed or underemployed.

CFHC has used MIP Fund Accounting software since 2010. The finance team manages revenue from programs and services, as well as a dozen different public and private grantors – each with its own stipulations regarding how money is spent and reported. Its Human Resources team manages nearly 200 staff members at four centers.

In addition, three years into using MIP, CFHC needed help
to manage its finances and subsequently implemented several MIP modules – Human Resource (HR) Management, Payroll and Employee Web Services
(EWS) modules.

Using MIP Cloud, CFHC has successfully customized segments across multiple programs and fiscal years.

With the addition of the Employee Web Services (EWS) module, the payroll team now saves a day and a half for each pay period.

HR modules have helped CFHC streamline their

processes and automate seamlessly.

Town of Rising Sun, Maryland

Town of Rising Sun, MD had staffing constraints and was struggling with the time it took with manual workarounds, decentralized systems and management of IT systems. The town also desired seamless integration of all the critical financials and databases. Most importantly they wanted to move to a cloud-based system for future scalability and to have a secure disaster recovery system
in place.

Melton also was under an extremely tight timeframe for having a new accounting system in place for AP to keep the town on time in paying vendors and to ensure payroll was expedited for the entire municipality’s workforce. Being able to successfully move payroll capabilities to the cloud so that each office could effectively upload all payroll timesheets and process them was critical in Melton’s decision to go with MIP. An additional benefit for the municipality was the ability for any city department to easily correct payroll errors via accessing the cloud.

With MIP Cloud, the town was able to empower reporting efficiency, reduce reliance on outside accounting professionals and have a cloud-based system that will serve them in the future. Since implementing, they gained greater reporting flexibility, superb data integration and key budget reconciliations. They also enjoy consistent, solid and ongoing customer support from MIP for
module education.

The Roman Catholic Diocese of San Angelo oversees a thriving Catholic community in West and Central Texas. It encompasses some 50 parishes serving more than 85,000 parishioners and runs nearly 20 ministries. It also manages three Catholic schools, a retreat center, and a cemetery.

The Diocese was managing, tracking, and reporting its financials with QuickBooks. The complexity and size of its financials were immense and growing, and as Comptroller Jen Collier noted, “We were attempting to account for everything in QuickBooks in one chart of accounts.
It was overwhelming and a bit ridiculous.”

The DSA needed a full fund accounting solution to effectively track, manage and support each individual diocese with integrated reporting, billing, and employee insurance costs.

In 2016, the finance team went through the process of implementing MIP Cloud. During the process of cleaning and importing data, Collier and the team were able to move from one fund to 10 funds – more clearly representing their chancery pastoral center, retreat center, cemetery, charity, insurance and various grant funds. They also streamlined their General Ledger accounts from 695 to 164 and scrubbed their vendor list from more than 5,000 vendors to just over 1,000.

“The medical insurance we pay for the employees of the Diocese was never budgeted for in QuickBooks,” says Collier. “We spend about $150,000 a month on medical insurance. We billed the individual parishes for their portion and then they reimbursed us. That wasn't budgeted anywhere – it was just netted. This hid the actual total spend on medical insurance.”

Additionally, with its transition to MIP Cloud, the Diocese was able to better understand its financial picture
and find hidden costs in medical insurance.

With the move to a true fund accounting solution, the Diocese benefits greatly from the transparency and
in-depth reporting it can now offer during financial council meetings. “With QuickBooks, we had to rely on Excel to create ad hoc reports and attempt to explain details to our board. The previous cumbersome reporting process failed to meet the needs of our end users, our board members.”

A municipality, a diocese and a health center all found success in migration to the cloud and have been able to continue growing and expanding their reporting and budgeting capabilities.
